This document outlines the roles and responsibilities of the property maintenance services provider contracted by Sima Space. The provider is responsible for ensuring the safety, functionality, and aesthetic quality of our coworking spaces, addressing both routine maintenance tasks and emergency repairs as needed.
1. General Responsibilities:
- Routine Maintenance: Perform regular inspections and maintenance of the property to ensure all facilities are in optimal working condition.
- Emergency Repairs: Respond promptly to emergency repair requests to minimize disruptions to the coworking space operations.
- Compliance: Adhere to all relevant building codes, safety regulations, and environmental standards.
2. Tasks every visit:
- Property Inspections:
- Conduct daily inspections of the coworking space, including interior and exterior areas, to identify any maintenance needs.
- Check all safety systems, including fire alarms, emergency lighting, and exit signs, to ensure they are functioning correctly.
- Minor Repairs:
- Address minor repairs such as fixing door handles, patching holes in walls, and replacing light bulbs.
- Ensure that plumbing systems are functioning correctly, addressing issues like leaks, clogged drains, or malfunctioning fixtures.
3. Reporting and Communication:
- Maintenance Logs:
- Maintain detailed logs of all maintenance activities, including inspections, repairs, and preventive maintenance tasks.
- Provide regular reports to Sima Space management on the status of the property, including any upcoming maintenance needs or potential issues.
- Janitorial and Cleanliness Report:
- Provide a report on the overall cleanliness of the coworking spaces, including the condition of floors, surfaces, restrooms, and common areas.
- Report any issues related to janitorial services or cleanliness standards.
- Orderliness and Organization:
- Inspect and report on the general orderliness of the space, ensuring that furniture, equipment, and other items are properly arranged and stored.
- Furniture and Appliances Inspection:
- Regularly inspect furniture for wear and tear, ensuring that all items are in good condition and safe to use.
- Inspect appliances such as microwaves, refrigerators, and coffee machines, reporting any malfunctions or necessary repairs.
- Plant Health and Maintenance:
- Monitor the health of indoor plants, ensuring they are well-watered, pruned, and free from pests.
- Report any issues related to plant health or suggest replacements if needed.
- Mail and Magazine Management:
- Ensure that mail is properly sorted and delivered to the appropriate recipients.
- Regularly update and organize magazines and other reading materials in common areas, removing outdated or damaged items.
- Amenities and Supplies Check:
- Check that all amenities, such as coffee stations, water dispensers, and restrooms, are fully stocked with necessary supplies.
- Report any shortages or request restocking as needed.
- Inventory Check:
- Conduct regular inventory checks of maintenance supplies, tools, and equipment, ensuring that everything is accounted for and in good condition.
- Report any missing or damaged items to Sima Space management.
- Overall Appearance:
- Assess the overall appearance of the coworking space, ensuring that it meets Sima Space's standards for aesthetics and cleanliness.
- Suggest improvements or enhancements to maintain a professional and welcoming environment.
- Issue Reporting:
- Immediately report any critical maintenance issues, safety concerns, or damage to Sima Space management.
- Provide recommendations for repairs or improvements based on observations and inspections.
- Feedback and Improvement:
- Regularly communicate with Sima Space management to discuss the performance of maintenance tasks and suggest improvements to enhance property upkeep.
